Terms and conditions

Confirmation email

Your confirmation email confirms your booking.

Please check it including dates, location and child details. The person who made the booking is responsible for the accuracy of all information provided.

Medical form

Your confirmation email has a link to a medical form.

This needs to be completed before your child starts their first day.

Payment

Debit and credit card payments

Our payment system is WorldPay who provide their own terms and conditions for use
WorldPay accept Visa, Mastercard, Maestro and JCB cards.

You will receive a payment receipt and you should keep a copy of this for your records.

Childcare vouchers

If you are paying by childcare vouchers you must make your booking at least 2 weeks prior to the course.

It can take up to 2 weeks for payment to reach us and full payment must be made before your child comes to the summer school. If you have any queries please have your booking reference number to hand when you contact us. This is on your confirmation email.

Cancellations and refunds

If you need to cancel a booking please let us know as soon as you can.

Payments made by debit or credit card will be refunded to the same card. Refunds will be given only if Essex Dance Theatre decides to cancel your booking.

Health and safety

To make sure that we can keep your child safe and well we ask that you complete a medical form before your child/ren come to summer school. The form can be completed online and there is a link to the form on the confirmation email.

The form lets us know if there are any medical conditions that we need to be aware of and if your child needs to bring any medicine with them.

  • If medication is needed please send your child in with a signed letter which states that you’re happy for staff to give medication as directed
  • We reserve the right to refuse entry if your child has any contagious illness on arrival ie. Chicken Pox, Impetigo or sickness and diarrhoea.
  • We reserve the right to refuse entry if a completed form cannot be provided.

Changing weeks/days

We can change your dates, providing we have spaces and you request your change at least 4 weeks before your child’s first day at the dance school.

Photography/video footage

We may take photographs at the summer school to use for future publicity.

To exclude your child we must be informed in writing before your child begins their first day.

Child protection

All Summer school staff have completed Basic First Aid Training and have been DBS checked.

If there is an emergency and you are unable to collect by 5pm please telephone on (01245) 476 335 or we are required by social services child protection to call them.

Staff have a duty to respond if they suspect a child in their care may be suffering from abuse, or if a child makes a disclosure about abuse. In this event they will contact the Local Children and Families Team and act on their advice.

Staff ratio

The Summer School ratio of staff : children is 1:10

Liability

The Essex Dance Theatre does not accept liability for personal injury or the death of any person unless directly caused by the proven negligence of the company or its servants, in this event our liability insurance provides cover of up to £25 million.

Personal property

Essex Dance Theatre will not take responsibility for the loss or damage of any items of personal property brought onto the site.

Mobile phones are not permitted. They will be confiscated and kept in the office until the end of the day.

Appropriate clothing

Essex Dance Theatre asks that you don’t send your child to Summer School in Heeley’s or open toe sandals. They may have to stay inside during break times if they don’t have appropriate footwear for running and playing on the school field.

Exclusions

Essex Dance Theatre reserves the right to exclude any child for any reason at its absolute discretion, including persistent late collection.

No refund will be made for days missed and no compensation will be made for any other costs or losses incurred as a result.

Complaints

The Essex Dance School is committed to ensuring every child has a great summer school and can’t wait to come back.

If you or your child is not entirely satisfied then we want to be the first to know.

If there’s a problem while your child is still at the summer school we can almost always resolve it. If we hear of a problem after a child has left the school we will take great care to look into the matter, but cannot change the situation after the event, so please talk to Debbie or Paulene on (01245) 476 335 promptly if you have any complaint.

Refunds and compensation will only be made if Essex Dance Theatre is proven to have been in breach of these terms and conditions, and it is proven further that they were not capable of remedying that breach and as a result the child was withdrawn from the summer school.

Data Protection

To process your booking we need to collect personal details about you and all the children on your booking. It is your responsibility to ensure that you have permission to pass on these details. We will never pass your details on to any third party.
